Description:
Light the Way Ministry is seeking a dedicated and energetic Volunteer Coordinator to manage and lead volunteer efforts at our annual Christian Music Festivals and related events. This role is seasonal/part-time and requires flexibility, excellent organizational skills, and a passion for ministry and music. The ideal candidate will be responsible for recruiting, training, scheduling, and managing volunteers, as well as coordinating logistics across multiple locations. Traveling to various event sites is a key aspect of this position.
Qualifications:
Key Responsibilities
Volunteer Recruitment & Management:
- Recruit, interview, and onboard volunteers for the festival and related events.
- Develop training materials and conduct volunteer orientation sessions in accordance with Light the Way Ministry’s mission and values.
- Supervise and support volunteer teams before, during, and after events.
Event Coordination:
- Collaborate with event managers and ministry staff to ensure volunteer needs are met for each event.
- Assist with scheduling, task delegation, and on-site coordination to ensure a seamless festival experience.
- Monitor volunteer performance and provide ongoing feedback.
Logistics & Communication:
- Coordinate travel and accommodation logistics for volunteers and staff when necessary.
- Ensure clear and consistent communication with all volunteers regarding schedules, roles, and event updates.
- Serve as a primary point of contact for volunteer inquiries and concerns.
Travel & Flexibility:
- Travel to various event sites as required, both locally and regionally, to oversee volunteer operations.
- Adapt to changing event locations and schedules, demonstrating flexibility and responsiveness in fast-paced environments.
Reporting & Administration:
- Maintain detailed records of volunteer participation, hours, and contributions.
- Assist in preparing post-event reports to evaluate volunteer performance and overall event success.
- Contribute to the planning and improvement of future volunteer programs.
Required Qualifications
Faith & Ministry:
- A strong, personal Christian faith aligned with the mission and values of Light the Way Ministry.
Experience in a church or ministry setting is highly desirable.
Experience:
- Prior experience coordinating volunteers, events, or festivals, preferably in a seasonal or part-time capacity.
- Demonstrated ability to work independently and as part of a team in dynamic, event-driven environments.
Skills:
- Excellent organizational, communication, and interpersonal skills.
- Ability to manage multiple tasks and adapt to changing priorities.
- Proficient in basic computer applications and willing to learn new software tools as needed.
Travel:
- Must have reliable transportation and be available to travel to various event sites, both locally and regionally.
- Flexibility in working hours, including evenings and weekends during the festival season.
Other:
- Strong problem-solving skills and the ability to remain calm under pressure.
- Ability to work with a diverse group of volunteers and ministry staff.
Working Conditions
Seasonal/Part-Time:
- This position is seasonal/part-time, primarily during the festival season with potential for extension based on event requirements.
Travel:
- Frequent travel is a mandatory aspect of the role. Candidates must be willing to travel to different locations as events require.
On-Site Coordination:
- Must be able to work outdoors and in various event environments, adapting to weather conditions and the physical demands of festival settings.
