Ministry Function
The Events Project Manager supports the ministry of Convoy of Hope by planning, strategizing, managing, and executing projects related to major donor Development and Network Events, and fulfilling other duties as assigned by the Vice President of Events.
Essential Duties & Responsibilities
Pre-Event
1. Communicates with the internal client to determine event requirements starting 12 to 18 months out from the event and consults with internal client throughout the event cycle on recommendations for a successful event.
2. Interacts with internal departments throughout the organization including Marketing & Communications, Development, Network, and Finance as needed for event execution.
3. Establishes project needs and priorities and creates task lists and timelines to meet project goals.
4. Submits support tickets for assets and creates spreadsheet to track tickets and due dates.
5. Selects menus for all food and beverage functions and proofs banquet event orders.
6. Coordinates décor, photography, and group transportation.
7. Reviews online registration data and creates reports.
8. Works with the Vice President of Events to make pre-event assignments for accounting, rooming, and coordination.
9. Manages event vendors, including sourcing and proposal review.
10. Creates event briefing notes outlining all specifications and requirements and shares them with the on-site team.
11. Creates and sends strategic event communications to registered attendees, working closely with the Vice President of Events to develop a communication plan for each event.
12. Prepares post-event surveys to be sent to attendees.
13. Works within the event registration system and event app to assign seating for dinners.
14. Develops productive relationships and communicates with all stakeholders (internal and external) to ensure the successful planning and execution of events.
15. Continually evaluates the event planning process and proposes new ideas to improve processes and procedures.
16. Fulfills other duties as assigned.
On-Site Event Operations
1. Acts as the primary liaison for Convoy of Hope on site to ensure efficient operation of event logistics.
2. Attends pre-conference meetings and meets with venue department heads to ensure compliance with contracted logistics and Convoy of Hope expectations.
3. Creates staff schedules for on-site operations.
Post-Event
1. Launches post-event surveys to attendees, compiles results, and meets with the Vice President of Events to discuss the survey findings.
2. Writes a comprehensive debriefing document including all feedback from event partners.
3. Schedules and oversees meetings with the Events Team to review debriefing documents and discuss recommended logistics improvements.
Qualifications:
Required Knowledge, Skills & Abilities
1. A bachelor’s degree is preferred. A high school diploma or equivalent is required.
2. Two or more years of relevant career experience is required.
3. Is able to travel up to 30% of the time, potentially on short notice.
4. Exhibits proficiency with Mac programs, including but not limited to Gmail, Microsoft Word, PowerPoint, and Excel.
5. Demonstrates excellent verbal and written communication skills for conveying the work of Convoy of Hope within the organization, with partners, and with our target
audience.
6. Displays a professional, resourceful, and determined style with the ability to work independently and is also comfortable in a close-knit, team-oriented setting.
7. Possesses strong organizational skills and ability to handle multiple concurrent job tasks.
8. Displays excellent interpersonal communication and relational skills.
9. Attends and actively participates in Convoy of Hope At Home Week meetings and activities as a required responsibility to the organization and fellow team members.
10. Serves as an advocate for the ministry, striving to nurture, broaden, and develop financial and other resource opportunities to support and expand organizational and program ministry.
11. Positively represents the ministry of Convoy of Hope, including its mission statement and core values, to all outside constituencies.
12. As a Christian organization, Convoy of Hope believes it is critical that team members embrace the organization’s religious purposes for which it exists and not only agree with its Statement of Faith but demonstrate it in their lives on an ongoing basis.
