Description:

Tasks will include but not limited to: • Answer phones & greet visitors. You are the first impression of our Company and we want you to “shine.” This includes getting beverages for customers/guests if needed (daily) • Announce visitors and vendors on shop radio • Ensure front lobby is clean and presentable (including updating FOB of TV pictures and customer greeting signs digitally) (daily) • Maintain personnel files, keep Vacation logbook & Employee handbook, Assemble employment forms/packet for new employees. (daily/weekly) • Track Field Operations Hours in timekeeping (daily) • Prepare and alphabetize all incoming AP invoices – readying them for processing (daily) • Ensure kitchen/breakroom/conference room areas is presentable and clean (daily) • Update production schedule, print and distribute to production team (weekly) • File Sales/QC/Engineering files (weekly) • Prepare Fed Ex shipment of packages for office or maintenance departments (weekly) • Ensure all older sales/qc and engineering files are scanned and archived timely (weekly) • Use Timekeeping program to monitor hours worked by temporary shop employees and correspond with Labor agencies. Prepare Labor hours reports weekly. (weekly) • Order office supplies. Maintain copiers & office equipment. (weekly) • Maintain Drivers and Supply Logs (monthly) • Reconcile corporate credit card statements (monthly) • Track and Create Birthday and Anniversary Signs for Employees (monthly) • Plan, book and assist with WMMI events or functions as needed for employees or site. (quarterly) • Complete any credit references on behalf of company and other clerical requests (intermittent) • Provide assistance to President & Production Manager as needed by typing correspondence, memos, lists and researching projects. (intermittent) • **Later After Training is complete**Back up Sales Admin when out of office: Type Sales quotes & Sales orders using Word; set up Sales files, assist salesmen with mailers (stuff envelopes, make labels, stamp etc). (intermittent)


Qualifications:

Computer literate Fronk Desk, sales, customer service experience Ability to multitask Teamplayer Ability to do jobs as requested outside of your normal duties
